Work Smarter, Not Louder: Why You Need a Strategic School Communications Plan


As communicators, we spend a lot of time on reactive communications: responding to challenges, clarifying information (or misinformation), and addressing concerns as they arise.
We’ve even become reactive to the celebratory days throughout the school year, creating what might be beautiful posts to recognize American Indian Heritage, Bullying Prevention Month, Throwback Thursdays, Women’s History Month, National Career Development Month, and so on.
While well-intentioned, some of these celebrations might be missing the mark.
Some communication is certainly better than no communication, and if getting messages out there to celebrate these days (along with some of the other celebrations from your schools) is your first step, KUDOS!

- Define Your Goals: Align your communications strategy with district priorities. Are you working to improve engagement, build trust, or increase enrollment? Clearly define what success looks like for your district.
- Identify Your Audiences: Families, staff, students, community members, and local businesses all engage with your district in different ways. Tailor your messaging to meet them where they are.
- Develop Key Messages: Establish a set of key messages that reinforce your district’s mission, values, and goals. These should be consistent across all platforms and communication efforts.
- Create a Content Calendar: Plan ahead! Instead of scrambling to post for every special day or event, build a calendar that balances timely updates with proactive storytelling. Prioritize content that reflects your district’s goals and community impact.
- Leverage Multiple Channels: Website updates, social media, newsletters, and press releases each serve a different purpose. Use a mix of platforms to reach your audiences effectively.
- Engage, Don’t Just Inform: Communication is a two-way street. Ask for feedback, encourage interaction, and create opportunities for families, staff, and the community to share their voices.
- Measure and Adapt: What’s working? What’s not? Use analytics, surveys, and engagement data to assess the effectiveness of your communications. Adjust your strategy as needed to keep improving.
